This Privacy Policy explains how Stacey Howe Limited, trading as Oh So Yoga Retreats, collects, uses, stores and shares personal information.

We respect your privacy and take care to protect the information you share with us. This policy applies when you:

  • Visit or use www.ohsoyoga.com;
  • Contact us by email, telephone or social media;
  • register your interest in a retreat;
  • book or attend an Oh So Yoga retreat; or
  • interact with our marketing, photographs, videos or testimonials.

This website is intended for adults. We do not knowingly collect personal information from children.

When we refer to "Oh So Yoga", "we", "us" or "our" in this policy, we mean Stacey Howe Limited trading as Oh So Yoga Retreats.

The type of information we collect depends on how you interact with us.

Information you provide directly

This may include:

  • your name;
  • email address;
  • telephone or mobile number;
  • information about the retreat you are interested in or booking;
  • dietary requirements;
  • room, cabin or transfer preferences;
  • whether you have suitable travel insurance;
  • whether you would like to join a retreat WhatsApp group;
  • information you provide when contacting us; and
  • photographs, videos, reviews or testimonials you agree that we may use.

We do not ask you to send card details to us by email or through our website.

Booking information provided through WeTravel

Bookings are completed through the WeTravel platform, which we link to through a pop-up on our website.

The WeTravel booking form may collect your name, email address, telephone number, dietary requirements, insurance information and WhatsApp group preference. It may also collect other information necessary to administer your booking.

WeTravel processes payments for your booking. Oh So Yoga does not collect or store your full card details or online payment credentials. We may receive information such as your booking status, payment status, refunds or cancellations, where needed to administer your retreat.

WeTravel has its own privacy policy, which is available at www.wetravel.com/privacy.

Information collected automatically

When you visit our website, we may collect technical and usage information, including:

  • your IP address;
  • browser type and version;
  • device information;
  • operating system;
  • pages you visit;
  • the date and time of your visit;
  • the time spent on pages; and
  • other website usage statistics.

Some of this information is collected through cookies and similar technologies. More information is provided in section 11 below.

Information from other sources

We may receive information from:

  • WeTravel;
  • retreat suppliers and travel partners;
  • people who make a booking on your behalf;
  • guests who recommend or refer you;
  • social media platforms; and
  • review platforms, where you have chosen to publish a review.

3. How we use your information

We use personal information to:

  • respond to enquiries and requests;
  • provide information about our retreats and services;
  • process and administer bookings;
  • communicate with you before, during and after a retreat;
  • arrange accommodation, cabins, meals, activities and transfers;
  • understand dietary requirements and relevant practical preferences;
  • manage retreat WhatsApp groups where you have consented to join;
  • process or administer payments, refunds and cancellations through WeTravel;
  • provide customer support;
  • maintain appropriate booking, accounting and business records;
  • comply with legal, regulatory and insurance requirements;
  • improve our website, retreats and customer experience;
  • send newsletters and retreat marketing where you have consented or where otherwise permitted by law;
  • send optional WhatsApp or SMS updates where you have given separate consent;
  • manage and respond to reviews, testimonials, photographs and videos;
  • protect our business, website, guests and suppliers from fraud, misuse or security risks; and
  • establish, exercise or defend legal claims.

We do not sell your personal information.

4. Our lawful bases for using your information

Under UK data protection law, we must have a lawful basis for using personal information. Depending on the circumstances, we rely on the following bases:

Where we rely on consent, you can withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing carried out before you withdrew your consent.

5. Dietary and other sensitive information

Dietary requirements may sometimes reveal information about your health, allergies, religious beliefs or ethical choices. We only use this information where it is necessary to arrange and safely deliver your retreat.

Where dietary information amounts to special category personal data under UK data protection law, we will process it only where an appropriate additional legal condition applies, including where you have given explicit consent or where processing is necessary to protect your vital interests.

Please only provide information that is relevant and necessary. If you have a serious allergy or medical condition, you should also discuss it with us directly so that we can explain what information is needed and what arrangements may be possible.

We do not provide medical advice, and our retreats should not be treated as medical treatment.

6. Who we share your information with

We share personal information only where necessary, fairly and lawfully.

This may include sharing limited information with:

  • WeTravel, which provides our booking and payment platform;
  • accommodation providers and lodges;
  • yacht owners, operators and crew;
  • transfer and transport companies;
  • activity, excursion and experience providers;
  • catering and food providers;
  • local guides and retreat staff;
  • accountants, insurers, professional advisers and legal advisers;
  • website, hosting, email marketing, communications, analytics and advertising providers;
  • IT, security and technical support providers;
  • government authorities, regulators, courts or law enforcement bodies where required; and
  • professional or business purchasers if our business is reorganised, sold or transferred.

The information shared with retreat suppliers will be limited to what they need to arrange and deliver the retreat. This may include your name, dietary requirements, room or cabin information, transfer preferences and other practical booking details.

We do not share your information with retreat suppliers for their own marketing purposes unless we tell you and obtain any consent required by law.

7. WhatsApp groups

If you separately consent to join a WhatsApp group for your retreat, we may use your telephone number to add you to that group.

Please be aware that other members of the group may be able to see your name, telephone number, profile photograph and any information you choose to share in the group. WhatsApp and Meta may process information in accordance with their own privacy terms.

Joining a WhatsApp group is optional. You can leave the group at any time or ask us not to add you. You should not share sensitive or confidential information in a group chat.

8. Marketing communications

We may send newsletters and retreat-related marketing emails through ActiveCampaign.

These communications may include:

  • new retreat dates;
  • available spaces;
  • waiting-list updates;
  • information about future retreats;
  • relevant Oh So Yoga services; and
  • content relating to yoga, wellbeing, rest and burnout recovery.

We will send marketing emails where you have consented or where another lawful basis applies under applicable law. Each marketing email will include an unsubscribe link.

You can also withdraw your email marketing consent by contacting hello@ohsoyoga.com.

We may send optional WhatsApp or SMS updates only where you have ticked a separate consent box. You can withdraw your consent at any time. You can also unsubscribe from SMS messages by replying STOP, where that option is available.

We will keep a record of your marketing preference so that we can respect your decision not to receive marketing.

9. Photographs, videos and testimonials

We may ask guests for permission to use their photographs, videos, written reviews or testimonials on:

  • our website;
  • social media;
  • email newsletters;
  • brochures and other marketing materials; and
  • other Oh So Yoga promotional channels.

We will use this material only where you have provided the relevant consent. Consent is optional and is separate from your retreat booking.

You can withdraw consent by contacting hello@ohsoyoga.com. If material has already been published, we will take reasonable steps to stop using it and remove it from channels we control, although we may not be able to recall copies that have already been downloaded, shared or reposted by others.

10. Cookies and similar technologies

Cookies are small text files placed on your device when you visit a website. They help websites operate, remember preferences and understand how visitors use them.

Some retreat suppliers are located outside the UK because the retreats take place overseas. We may need to share relevant booking information with them so that we can deliver the retreat you have booked.

13. How long we keep your information

We keep personal information only for as long as it is reasonably necessary for the purposes described in this policy, including to provide our services, comply with legal obligations, resolve disputes and enforce agreements.

Our intended retention approach is:

  • Booking and retreat records: for as long as needed to administer the retreat, followed by the period required for accounting, tax, insurance and legal purposes. A sensible starting point is up to 6 years after the end of the relevant financial year, unless a longer period is legally required or reasonably necessary.
  • Enquiry information: normally for up to 6 years after our last meaningful contact, unless you become a customer or we need to retain it for a legal or business reason.
  • Marketing information: until you unsubscribe or withdraw consent. We may retain limited suppression information, such as your email address, to ensure that we do not send you marketing in future.
  • WhatsApp and SMS preferences: while needed to manage your communications preferences and demonstrate consent or withdrawal.
  • Photographs, videos and testimonials: until you withdraw consent, the material is no longer relevant or we decide to stop using it.
  • Cookie consent records: for as long as reasonably necessary to demonstrate and manage your cookie choices.
  • Legal, regulatory and insurance records: for as long as necessary to meet the relevant obligation or protect our legal position.

We retain booking and enquiry data for 6 years after your last booking or enquiry, and then delete it, unless we need to keep it for longer to comply with a legal obligation or to establish, exercise or defend legal claims.

14. Your data protection rights

Subject to certain legal exceptions, you have the right to:

  • Access the personal information we hold about you;
  • Correct inaccurate or incomplete information;
  • Ask us to erase your personal information;
  • Ask us to restrict how we use your personal information;
  • Object to certain processing, including direct marketing;
  • Receive a copy of certain personal information in a commonly used, machine-readable format;
  • Withdraw consent where we rely on consent; and
  • Object to or ask for information about automated decision-making, where applicable.

The right to object to direct marketing is absolute. If you object to receiving marketing, we will stop sending it, although we may retain limited information on a suppression list so that we can respect your request.

These rights are not absolute and may not apply in every situation. For example, we may need to retain certain information to comply with legal obligations, establish or defend legal claims, or complete a booking contract.

Please provide enough information for us to identify you and explain the right you wish to exercise. We may need to ask for reasonable information to verify your identity and protect personal information from being disclosed to the wrong person.

We normally respond to a valid request within one month. If a request is particularly complex or you have made several requests, we may extend this period by up to two further months. If we do so, we will explain why.

There is normally no charge for exercising your rights. We may charge a reasonable fee or refuse to act where a request is clearly unfounded or excessive.
